Use of hARTslane

What you have to do if you want to use hARTslane for an art event or exhibition:

  • Please read these Guidelines carefully.
  • Contact us via email to discuss dates & availability and reason for hire [info@hartslane.org]
  • Once we have agreed on your preferred dates, we’ll email you back with a Gallery Agreement and an invoice. 
  • Your booking will not be confirmed until we receive the payment & the Gallery Agreement signed by you.
  • We will send you a Risk Assessment to complete and a Health & Safety document a couple of weeks before your event.
  • Please note: We are a volunteer run space. We reply to emails as soon as we can, normally on Wednesdays. 

GUIDELINES

hARTslane is a DIY art project space based in New Cross Gate, South London.

Our cultural programme aims to make the art world more transparent and accessible both for artists and the community.  

The gallery space is available for group art exhibitions and events, creative workshops and short term studio.

We are committed to supporting work that happens at any stage of artists’ development regardless of experience and background.

We encourage work that is intended to have a social impact and to forge meaningful relationships with our locality, its residents and the wider civil society. 

hARTslane has a ‘Policy of Saying Yes To Artists’ provided their proposed events are in compliance with our Safeguarding & Equality, Diversity & Inclusion Policies and with our Guidelines outlined below.

 We operate on a first come first served basis.

IMPORTANT GENERAL CONDITIONS

  • We don’t accept proposals for solo shows unless there is a strong element of community engagement.
  • Maximum number of artists exhibiting in a group show is 8.
  • No live nor loud music allowed inside or outside the space.
  • Events must finish at 8pm
  • No central heating is provided in the space.
     

FEES

hARTslane is an independent, not-for-profit organisation. Contributions from gallery space users are crucial to keep the space open and affordable to all.

The daily rate is £55 (2-5 artists); £70 (6-8 artists) for a minimum of 3 days. 
For bookings of 7+ days we will offer a discount.

The entire amount has to be paid to confirm the booking and upon receiving the Gallery Agreement from our team.  

INSTALLATION & LOGISTICS

All bookings must include set-up and clear-out time.

Artists are fully responsible for their events, including transport, installation, invigilation, promotion and all exhibition logistics.
 
Keys handover on the morning of day 1 (normally at 10am), provided that the Risk Assessment form (which you will receive ahead of your event) has been submitted. 

We allow artists to use nails and screws on the walls as long as the holes are filled in and painted back white at the end of the exhibition.   

There is no WIFI at the premises.

hARTslane hasn’t got a license to sell alcohol and you must not sell alcohol during your use or make any charge for attending any event where alcohol is available.

Free street parking is currently available outside the gallery space.

hARTslane retains the right where reasonable to use the space for activities such as meetings and work to the building during an exhibition. In the event of such an activity the artists will be notified in advance.

hARTslane has available the following facilities:

  • Wheelchair accessible toilet
  • Tea point & kitchen sink
  • 4 tables and approx. 10 chairs
  • HD projector for hire (£10 a day)
  • Speaker and a microphone & stand (£5 a day)
  • Flat monitor (£5 a day)

You must come equipped with:

  •  your own tools to install (ladder, hammers, nails, screws…)
  •  for de-install, filler and white paint, bin liners

OPENING EVENTS

Opening events must finish at 8pm.  

The date for the private view must be agreed in advance with hARTslane.

The building is located in a residential area. You must ensure that reasonable noise levels are maintained throughout the building and outside, and we will monitor this.

RETURNING THE SPACE

Artists have to ensure that the space (walls, floor and ceiling) and furniture used, is returned in the condition that they found it (including filling and painting over any marks to the walls), remove any waste produced during the hire and leave the premises clean and tidy. 

PROMOTION

We’d like to use inclusive language to promote events in hARTslane therefore we highly encourage you to call your opening night an “opening event” as opposed to “private view”. 

Artists are encouraged to connect with the local community by facilitating an artist talk, children’s workshops, or other engaging activities and are required to hang a poster in the gallery window.

hARTslane will give visibility to the event on social media. Therefore we need the following information by the 20th of the month before the event:

  • title, what, where, when, who is involved in the event
  • a short paragraph with the concept of the show.

HEALTH & SAFETY 

Both hARTslane and the artists have a duty to protect the health, safety and welfare of all people affected by their activities. Artists must comply at all times with our health and safety policy, a copy of which will be made available to you together with the Gallery Agreement.

All exhibitors are required to complete an exhibition Risk Assessment before their hire begins. Once completed, you must then make sure that you and any visitors comply with the risk mitigation actions that are agreed.

Exhibitions and all your activity must be designed to prevent slips and trips. All exhibits must be firmly secured. 

Health & safety protocols must be observed throughout the installation and all electrical equipment must be PAT tested where relevant. 

Exhibitions must not contain any artwork or equipment which are or are likely to become a danger or health hazard. hARTslane reserves the right to remove immediately any artwork or equipment considered by hARTslane to be a danger or health hazard. Any such items will be removed immediately and, if we deem it
necessary, the hire will be terminated or the exhibition closed without notice.

Smoke machines are prohibited as they interfere with our smoke detection system and prevent it from working effectively. 

We don’t provide any chemicals apart from fairy liquid and window cleaner. Please do not bring hazardous chemicals to the site and don’t pour them down the drain.

You must store any substances safely. 

For Health & Safety reasons, artists can not use the gallery ladder.

hARTslane is located in a back street with limited lighting at night. We recommend you stay alert and follow police advice on personal safety.

Under no circumstances is sleeping in hARTslane permitted. The premise has to be vacated between 8pm and 9am.

FIRE SAFETY

For health & safety reasons, max NUMBER OF PEOPLE within the gallery space at any one time is 50.

During opening events keep the door unlocked and unbolted as it is the only fire exit in the building.

No artworks emitting heat or smoke are permitted.

Artists can use hARTslane’s electric space heaters. Please ensure these are switched off at the end of the night each day and ensure these are kept away from combustibles during and after use.

INSURANCES

Insurance of the exhibits is the responsibility of the artists. All artworks are exhibited at the artist’s own risk and hARTslane takes no responsibility for any items damaged or stolen during an exhibition.

hARTslane’s Public Liability Insurance does not extend to artists own liabilities when exhibiting in the space. Please consider whether you should obtain a Public Liability Insurance, and make your own arrangements to acquire the insurance if so. Please get in touch with us if you’d like us to recommend a PLI company.

CANCELLATION

If you cancel days once they are booked 28 days or earlier before the start of your booking, you may choose to be refunded 50% of the fee or (subject to our approval) credit the full amount of the relevant fee against another booking within six months. The same rights apply if we cancel your booking, except that you may choose to be refunded 100% of the fee. If you cancel days once they are booked within 28 days of the start of your booking, your fee will not be refunded. Please refer to the Gallery Agreement for full details.

SAFEGUARDING

You must ensure that any activities for children, young people and other vulnerable adults are only provided by fit and proper persons in accordance with the Safeguarding Vulnerable Groups Act 2006 and any subsequent legislation

DISCLAIMER

As charming as hARTslane’s building is, the previously derelict garage comes with some limitations. Talk to us if you have concerns about fragile delicate works.

In the absence of any negligence or other breach of duty by us, we will not be liable for any accident, damage or loss occurred while using hARTslane.
